Terms, Cancellation & Participation Policy
Reservation & DepositA 50% deposit is required to reserve your place in the retreat.Your space is considered fully confirmed only after: payment of the deposit, completion of the participant questionnaire, and agreement to these retreat policies. The deposit reserves your place in our small-group retreat experience.Payment ScheduleThe remaining balance must be paid no later than 45 days before the retreat start date using a payment method agreed upon with the organizers.Cancellation & Refund PolicyParticipants may request a refund of retreat payments up to 45 days before the retreat start date.To request a refund, please email:hello@alma-flower.comPlease include: your full name, payment date, payment amount, and confirmation that you are requesting a refund. Refund requests made less than 45 days before the retreat are non-refundable.If the retreat is canceled by the organizers, participants will receive a full refund of retreat payments made directly to Alma Flower.However, Alma Flower is not responsible for reimbursement of: flights, visas, travel expenses, accommodation outside retreat dates, insurance, currency exchange losses, banking fees, or other personal expenses related to the trip.Travel ResponsibilityParticipants are fully responsible for arranging and covering their own: flights, visas, travel documentation, transportation, and travel insurance. We strongly recommend purchasing travel insurance that includes trip cancellation and medical coverage.Health & Personal ResponsibilityBefore the retreat, participants are required to complete a participant questionnaire and honestly disclose: relevant health conditions, allergies, injuries, pregnancy, physical limitations, sensitivities, mental health considerations, or other important information that may affect participation. All personal and health-related information shared with the organizers will be treated confidentially and will not be disclosed outside the organizing team except when required for participant safety or by law.Participants are personally responsible for evaluating whether the retreat experience is appropriate for them physically, emotionally, and psychologically.Some retreat activities and practices may involve physical activity, emotional openness, deep reflection, movement practices, breathwork, excursions, or other experiences that may feel physically or emotionally intensive for certain individuals. If you are pregnant or have significant physical, psychological, or medical conditions, we recommend consulting with a licensed healthcare professional before participating.Participants are personally responsible for monitoring their own physical and emotional wellbeing throughout the retreat and for choosing their own level of participation in all activities.The organizers are not responsible for issues resulting from undisclosed medical, psychological, or personal information.Retreat Nature DisclaimerAlma Flower retreats are intended for wellness, connection, personal growth, community experiences, and educational activities.They are not medical treatment, psychotherapy, psychiatric care, crisis intervention, or licensed mental health services.Participation in the retreat does not replace professional medical, psychological, or therapeutic care.If you require therapeutic or medical support, please seek assistance from a licensed healthcare or mental health professional.Weather & Program FlexibilityCosta Rica is a tropical country, and weather conditions may vary, including rain, wind, humidity, heat, transportation delays, wildlife encounters, road conditions, or other natural circumstances beyond the organizers’ control.Refunds will not be issued due to weather conditions or weather-related changes during the retreat.The organizers may adjust parts of the retreat schedule, activities, accommodations, excursions, transportation, or timing when necessary for safety, logistics, weather conditions, venue availability, or group wellbeing.Force MajeureAlma Flower is not responsible for delays, cancellations, changes, losses, or inability to provide parts of the retreat due to circumstances beyond our reasonable control, including but not limited to: natural disasters, severe weather, floods, earthquakes, volcanic activity, government restrictions, political events, transportation disruptions, illness outbreaks, strikes, accidents, venue-related issues, utility failures, or other force majeure events.Photography & MediaDuring the retreat, organizers or participants may occasionally take photographs or videos for community memories or future promotional materials.Participants who do not wish to appear in photos or videos may inform the organizers in advance.Personal BelongingsParticipants are personally responsible for their own belongings, valuables, travel documents, electronics, money, and equipment during the retreat.Alma Flower is not responsible for lost, stolen, or damaged personal items.Shared Spaces & Community RespectParticipants agree to respect shared spaces, accommodations, nature, local communities, staff, and fellow participants throughout the retreat.Aggressive, manipulative, discriminatory, abusive, threatening, or repeatedly disruptive behavior may result in removal from retreat activities or from the retreat itself without refund.Alcohol, Drugs & SafetyTo help maintain a safe and grounded environment for all participants, the use of illegal substances during the retreat is prohibited.Participants are expected to behave responsibly with alcohol and to respect the wellbeing, comfort, and boundaries of the group.Arrival & Participation ResponsibilityParticipants are responsible for: arriving on time, maintaining valid travel documents, checking visa requirements, and communicating major travel delays or changes with the organizers. Missed activities, delayed arrivals, or early departures are non-refundable.Community Ethics & ConfidentialityAlma Flower retreats are built on trust, emotional safety, mutual respect, and community care. Participants agree to treat personal stories, emotional sharing, conversations, and private experiences shared by other participants during the retreat as confidential and not publicly share or distribute them outside the group without explicit permission.No Guaranteed OutcomesWhile we hope the retreat will be a meaningful and positive experience, Alma Flower does not guarantee any specific emotional, psychological, physical, spiritual, relational, or business outcomes as a result of participation.Right to Decline ParticipationTo protect the wellbeing, safety, and group dynamic of all participants, Alma Flower reserves the right to decline or discontinue participation if we determine that the retreat may not be the right fit for an individual participant.In such cases, any refund decision will be made at the organizers’ discretion and will be limited to retreat payments made directly to Alma Flower.AgreementBy making a payment toward an Alma Flower retreat, completing the participant questionnaire, submitting retreat-related forms, and/or continuing participation in the retreat process after receiving these policies, participants acknowledge that they have read, understood, and agreed to these Terms, Cancellation & Participation Policies.
